Opening tasks

You can open and lock tasks from your To Do list or claim and open tasks from a group or shared To Do list. When you open a task, it is displayed in the main pane. All the remaining tasks for the To Do list are displayed as cards below the To Do list in the left pane.

Note: When you open a task, depending on the task defaults, the associated form may display in full view. You can minimize the form to access the other tools available to you in the task.

Open and lock a task from your list

When you open a task from your To Do list, if your list is shared, you can lock the task to prevent another user who has access to your list from working on the task.

  1. On the To Do page, in the left pane, select your individual Image of individual queue icon. To Do list. All of your tasks are displayed in the main pane.

    You can filter the tasks by selecting the process type within the To Do list. You can select Show All to view all the tasks in the To Do list again.
  2. If necessary, lock your task by performing one of these steps:

    • In card view, pause the pointer over the card and click the lock button Image of lock button. A lock icon appears next to the process name on the card.

    • In list view, click the task to select it and then click the lock button Image of lock button at the bottom of the list. A lock icon appears next to the process name in the list.

    You can also lock or unlock a task on the Task Details tab when the task is open.
  3. Open the task by performing one of these steps:

    • If you are in card view, click the task.

    • If you are in list view, double-click the task.

Open and claim a task from a shared or group list

When you open and claim a task from a group or shared list, the task is moved from the group or shared list into your individual To Do list. Other users with access to the list are prevented from working on the task.

  1. On the To Do page, in the left pane, select a group Image of group queue icon. or shared Image of shared queue icon. To Do list. All the tasks are displayed in the main pane.

    You can filter the tasks by selecting the process type within the To Do list. You can select Show All to view all the tasks in the To Do list again.
  2. Perform one of these steps:

    • To claim a task, without opening it, from a group or shared To Do list, click Claim this task and make it your ownImage of claim this task button on the task card or below the task list. The task moves from the group or shared To Do list to your list.

    • To claim and open a task from a group or shared To Do list, click Claim and open this taskImage of claim and open this task button.

Search for a task

You can also open tasks by searching for them using search templates that the Workspace administrator sets.

If you use a search template, the search results contain only the tasks in your list that meet the search criteria.

  1. On the To Do page, in the list on the left, select Search Templates.

  2. Select a search template.

  3. Fill the fields in the template to narrow the search parameters, and then click Search.

    Note: If the search template has a defined layout for the search results, it overrides your user preferences for column headings.
