Converting to PDF

The Convert to PDF component uses the PDF Generator module to convert native file formats or standards-based files to PDF documents. You can provide multiple files at a time to convert. The files can be converted to individual PDF documents or merged into a single PDF document.

You can convert these types of files formats:

  • AutoCAD 2005, 2006, and 2007

  • Microsoft® Excel 2003, 2007, and 2010

  • Microsoft® PowerPoint 2003, 2007, and 2010

  • Microsoft® Project 2003, 2007, and 2010

  • Microsoft® Visio 2003 and 2007

  • Microsoft® Word 2003, 2007, and 2010

  • Open Office 3.3

  • PostScript®

  • SWF or FLV files (Windows only)

  • JPEG, JPG, JP2, J2Kí, JPC, J2C, GIF, BMP, TIFF, TIF, PNG, or JPF images

  • HTML

With additional configuration on the server, you can convert the following file formats:

  • Adobe® FrameMaker® 7.2 and 8

  • Adobe® PageMaker® 7.0

  • Adobe® Photoshop® CS2

  • Corel WordPerfect 12 and X4

The values for the PDF settings, File Type Settings, and Security Settings options are set on the LiveCycle server. Your administrator can change these values using the Administration Console. Use the defaults or recommended settings to convert your files.

Convert to a PDF document

  1. Click the Convert to PDF icon.

  2. Add the files to convert by clicking the plus button and selecting the files.

    You can also add files by dragging them from your desktop or Explore window to the list box.
  3. If converting multiple files, sort the order in which to convert them by clicking the up and down buttons. If you choose to merge the files, this sorting also specifies the order in which they appear in the PDF document.

  4. In the PDF Settings list, select the preset to apply:

    • Standard: Use for reliable viewing and printing of business documents.

    • High Quality Print: Use for high-quality printing on desktop printers and proofers.

    • Oversized Pages: Use for reliable viewing and printing of drawings larger than 200 x 200 inches.

    • PDFA1b 2005 CMYK or PDFA 1b 2005 RGB: Use for compliance to the ISO standard for long-term preservation (archival) of electronic documents. These two settings are similar except for their color values.

  5. Select the File Type Settings for handling the conversion:

    • Standard: Use for converting Microsoft Office file types with Microsoft Office only. OCR is not performed on images.

    • Standard OCR: Use for converting Microsoft Office file types with Microsoft Office converters. OCR is performed on images.

    • Standard Open Office: Use for converting Microsoft Office file types with OpenOffice. OCR is not performed on images.

  6. For Security Settings, if you are not applying security settings to the PDF document, select No Security. Otherwise, use the security settings set up by your administrator.

  7. If you have multiple files to convert and you are combining them into a single PDF, select Merge Documents.

  8. Click Convert. The PDF documents are created and listed at the bottom of the component tab.

  9. Select the PDF document from the bottom list box and drag it to your desktop. You can then open the PDF document.
